Helmrec Ltd (“HELM.”, “we”, “us”, “our”) is a construction recruitment agency registered in England and Wales (company number 16061394). Our registered office is C/O Atria Accountants Ltd, Imperial House, 79-81 Hornby Street, Bury, England, BL9 5BN, and we operate from KB House, 4 Scott Drive, Altrincham, WA15 8AB.
This policy explains how we collect, use, store and protect personal data belonging to candidates, clients and visitors to this website. HELM. is the data controller for the personal data described in this policy.

2. What data we collect
We collect personal data when you interact with this website, specifically:
- Through our contact form: your name, company name (if provided), email address, phone number (if provided), the type of enquiry you select, and the content of your message.
- Through our job application forms: your first and last name, email address, phone number, current location (if provided), a summary of your relevant experience (if provided), a cover message (if provided), and your CV if you choose to upload one.
We use Plausible, a privacy-focused analytics tool, to understand overall visitor numbers and which pages are popular. Plausible sets no cookies, doesn't track you across other websites, and doesn't collect anything that identifies you personally — it only records aggregated, anonymised statistics. 3. How we use your data
We use the personal data you provide to us for the following purposes:
- To respond to enquiries submitted through our contact form (legal basis: legitimate interests, in responding to a direct request you have made to us)
- To consider you for the specific role you apply for, and, where you give consent, for other suitable roles we recruit for in future (legal basis: consent, and taking steps prior to entering a contract with you)
- To communicate with you about your enquiry or application, including by phone, email or in writing
- To comply with our legal and regulatory obligations as a recruitment business
We do not use your personal data for automated decision-making or profiling, and we do not sell your personal data to any third party.
4. How your application is handled
When you submit the job application or contact form on this website, the information you provide (including any CV you upload) is sent securely by email to our two directors, Shaun Kelly and Mark Ratcliffe. It is not published, made publicly accessible, or stored in any separate database or applicant tracking system by this website.
Your details then exist as part of our normal business email records, in the same way as any other correspondence we receive, and are retained and protected under the same safeguards as the rest of our business email.
To deliver these emails, we use Resend, a transactional email service, as a data processor acting on our instructions. Resend processes the content of your submission only to deliver it to us by email and does not use it for any other purpose. Resend may process this data outside the UK; where it does, appropriate safeguards (such as the UK's International Data Transfer Addendum or equivalent) apply.
5. How long we keep your data
We keep enquiry and application data for as long as is reasonably necessary for the purposes it was collected for, and in particular:
- Where you've applied for a role and consented to being considered for future suitable roles, we'll normally keep your details for up to 12 months from your last contact with us, so we can get in touch if a relevant vacancy comes up
- Where you've made a general enquiry, we'll keep your details for as long as reasonably needed to deal with that enquiry and for a short period afterwards in case you follow up

6. Data storage and security
Your data is held within our business email systems, which are protected by the security measures our email provider applies (including encryption in transit) as well as our own access controls — only our directors have access to applications and enquiries submitted through this site. We take reasonable technical and organisational steps to protect your data against unauthorised access, loss or misuse.
7. Who we share your data with
We do not sell or rent your personal data. We share it only with:
- Resend, to deliver application and enquiry emails to us (see section 4)
- Our hosting provider, which processes data in transit to operate this website
- Plausible Analytics, to generate anonymised statistics about how this site is used — Plausible does not receive or process any personal data about you (see section 2 and our Cookie Policy)
- Any third party where we're required to by law, for example a regulator or law enforcement body
If you register with HELM. or submit a timesheet through the external platforms linked from this site, those platforms are operated by separate third-party providers under their own privacy policies, which we encourage you to read — this policy covers this website only.
8. Your rights
Under UK GDPR, you have the right to:
- Ask us what personal data we hold about you and receive a copy of it (right of access)
- Ask us to correct inaccurate or incomplete data (right to rectification)
- Ask us to delete your data, where there's no good reason for us to keep it (right to erasure)
- Ask us to restrict how we use your data in certain circumstances (right to restriction)
- Receive the data you've given us in a portable format, where technically feasible (right to data portability)
- Object to us processing your data, including for direct marketing (right to object)
- Withdraw consent at any time, where we're relying on consent (for example, being considered for future roles) — this won't affect any processing already carried out

If you're unhappy with how we've handled your data, you also have the right to complain to the UK's data protection regulator, the Information Commissioner's Office (ICO), at ico.org.uk.
9. Children's data
This website and our recruitment services are intended for people who are legally able to work in the UK. We don't knowingly collect personal data from children, and our application forms aren't directed at anyone under the minimum school leaving age.
10. Changes to this policy
We may update this policy from time to time, for example if we start using analytics tools or a new system to manage applications. Any changes will be posted on this page with an updated “last updated” date.
